A one-night strategic retreat for 13 — crafted around a Big 5 wilderness reserve two and a half hours from Cape Town.
The 25th of April falls on a Saturday within a particularly congested holiday window. Freedom Day on 27 April turns that weekend into a long weekend for most South Africans, and Workers’ Day on 1 May (the following Friday) creates a second consecutive long weekend immediately after. In practice this means the reserve and the roads leading to it will be at peak capacity, rates will reflect high-season demand, and the intimate feel we are designing for will be harder to deliver. Shifting into May — once both public holiday clusters have passed — will give the group a meaningfully better experience for the same investment.
Aquila Private Game Reserve sits in the Touws River valley at the edge of the Klein Karoo — a fully rehabilitated Big 5 reserve that has quietly become one of the Western Cape’s most respected private safari destinations. Close enough to Cape Town to reach in a morning, remote enough to genuinely feel like you have left it behind.
For a team that thinks differently about how they operate, there is something deeply practical about swapping the conference room for the bush. The contrast is deliberate. Unfamiliar landscapes produce unfamiliar thinking — and that is precisely the point of a strategic retreat.
It is boutique by scale, and the on-site restaurant and facilities mean your group is looked after from arrival to departure without ever needing to leave the reserve.
Guests arrive at the reserve and are welcomed with refreshing drinks to start the retreat experience.
Enjoy a hearty breakfast to fuel the day ahead before the conference session begins.
Private conference venue with tea, coffee, and light refreshments. Breakaway area available. AV equipment included. Structure the session however best serves your agenda — we simply provide the space and support.
A delicious buffet lunch at the lodge restaurant. Time to relax, network, and recharge before the afternoon activities.
Check-in to your respective accommodations — Karoo Cottages and Premier Lodges — and take time to settle in before the afternoon game drive.
Board open-top safari vehicles for an afternoon drive across the reserve with experienced guides. Meet at Pick-Up Point B. Expect lion, elephant, buffalo, rhino, giraffe, zebra, and a wide variety of antelope.
A buffet dinner at the lodge restaurant. The setting is relaxed and conversational — the kind of meal that lets the day’s discussions continue naturally without the formality of a city venue.
End the evening under clear Karoo skies with stargazing and marshmallow roasting around the fire in the Boma. The reserve’s remoteness means minimal light pollution — ideal conditions for appreciating the southern night sky.
“There is something about safari life that makes you forget all your sorrows.”Isak Dinesen, Out of Africa
The early hours are when the reserve is most active. Meet at Pick-Up Point B for a morning game drive as the sun rises. A different energy from the afternoon drive — cooler, quieter, and often the best time for predator sightings.
Return to the lodge for a buffet breakfast. Time to reflect on the experience and prepare for the rest of the morning.
Check out of accommodations and hand in room keys.
Enjoy some free time to explore the lodge facilities, take a final walk around the grounds, or simply relax before departing. The drive back to Cape Town takes approximately 2.5 hours.
*Stargazing and marshmallow roasting is a shared activity open to all guests at the reserve and is not an exclusive private event for your group. This communal experience offers a wonderful opportunity to connect with fellow travellers under the African night sky.
